Stay Healthy / Director's Note: Jan. 31st

Hello parents,

I sat down and talked to the students on Saturday to give them a sneak peek of what to expect over the next week and a half of rehearsals into the show will be like.  You will receive all this pertinent information (and more in detail) tonight at the parent meeting.  PLEASE, at least one parent/guardian should attend this meeting (cast and crew).  

I cannot believe that we have less than two weeks left!  I have reminded the kids to enjoy this journey and enjoy each moment of rehearsals, to trying on costumes, being on stage, etc.  It will be over before we know it!!

I also talked to the kids on Saturday about staying healthy.  When stress seeps in mixed with a crazy busy schedule, it is easy for our immune system to be affected.  Please encourage your children to remember the following as we embark on our tech weeks.  People in theater call these two weeks "hell week" for very appropriate reasons! 
  • Get a good nights rest
  • Encourage your child to use the almost two hours in between school and rehearsal to work on homework, so that after rehearsal, your child doesn't have to stay up late to finish any school work
  • Eat healthy!!  Bring a healthy snack for after-school if you do not plan on eating dinner before rehearsal
  • Drink lots of water!  Hydrate yourself with water and any juices (especially orange or apple)
  • If you are sick, stay home from rehearsal!  We do not want to be sick with you!

Thank you for the cooperation with keeping the talking down and paying attention during rehearsals.  A special thank you to my students who have stepped up to be leaders in helping me manage 50+ kids.  I know who you are, and you have stood out! 

DON'T FORGET, we have rehearsal every day until we open (with the exception of Sunday).  ALL CAST is called for every rehearsal.  Please remind your child that he/she may end up sitting at rehearsal as we will be stopping to fix things at rehearsals this week.  Each child needs to bring something to do.

PARENT MEETING TONIGHT

A lovely note from our Parent Coordinator:
 

Hi Mulan Families,

This is a reminder that we have an ALL PARENT meeting on Monday, January 31, at 5 p.m. (when you drop off your child).  The meeting should last no longer than one hour, but it will cover TONS of information that you are just dying to know.  Seriously,  things seem to be going really well, but with 53 kids involved, this meeting is intended to make sure that everyone is on the same page.  Details will be explained to your kids too, but there are things they can't be prepared for without parental support - this production will be a family/team effort.    NOTE:  If you are one of the two rehearsal aides Monday evening, you will be able to join us by 5:10 p.m.

PLUS - We now need 2 additional adults backstage per show to help with sets  AND1 parent in the Green Room per show.  Also, we will be needing a parent to handle DRY ICE for each show - if that is a particular interest of yours!   Please come prepared to sign-up if you are available.

Honestly, it may take a small army of Wyomingites to pull this production off, but I am amazed by the dedicated parents and families that have made the set beautiful, the costumes fit, and the black eye make-up work, etc. etc. etc.  Thank you ALL for the hard work you have put forth or will put forth in the upcoming weeks!  Our children are the ones who will reap the benefits, so thank you for making my job easier.

Rehearsals: Friday & Saturday, January 28 & 29

Hi gang,

I just wanted to thank you for a great rehearsal on Tuesday.  The decision about Tuesday's rehearsal had to be made due to the amount of talking and our falling behind during rehearsals.  Thank you for your patience AND for your cooperation on Tuesday's rehearsal.  I expect that all students will pay attention at rehearsal and not talk while on stage or while waiting off stage, and the students at Tuesday's rehearsal did a great job of that. 

Friday & Saturday's rehearsals are staying the same as they are on the calendar, BUT -- please note:
FRIDAY:  no featured dancers, no ancestors, Chinese or Hun ensemble are needed for FRIDAY.  Ancestors, you do have some speaking lines in the last few pages - enjoy a night off.  We will most likely not get to your part with only an hour and half of rehearsal.  If you are one of these people who show up for rehearsal and are not needed, you will need to call a ride to come get you.

REHEARSAL TUESDAY, January 25th

Hello gang,

I am sorry for the late posting, but I have been in meetings almost all day.  Due to the amount of talking and stopping I am having to do at rehearsals, we are now behind.  I am requesting that I only have the following people at rehearsal tonight (see below).  If you show up for rehearsal and are not one of the cast members mentioned, you will need to call your parents and have them pick you up.  The amount of talking at rehearsals and not paying attention is putting us behind, and we cannot afford that. 

I have said it time and time again, but all of you are responsible students.  I have cast you in this show because I believe in you.  I know that you are able to hold your own and not be babysat every two seconds of rehearsal, but every time I stop to fix something with a character that is not you, everyone uses that as an excuse to talk to their neighbor.  In order to have a successful show, the talking and distractions have to stop.  I have some very neat things that I want to do with my cast that is not in the script, but at this point, I am unsure if we will get there if we continue at this rate.  We open 2 weeks from Thursday!!

12:00 - 1:00:  We will be running the show from 15-60 and stopping to work on what we have missed for the scene work.  Please bring your scripts and pencils.  This rehearsal is for ALL CAST.

Vandalism

Hello parents,

I am sure by now your students have told you that the green room was vandalized over the long weekend.  I did not know about this until after rehearsal on Monday when I was approached by a parent volunteer for that evening.  I just wanted to apologize to you, as there was an inappropriate word spray painted on the walls.  Unfortunately, we had costume fittings on Monday, so all of the kids saw it before I did at the end of rehearsal. 

Please know that Mr. Overbey was contacted after our rehearsal on Monday, and he assured me that he would take care of this.  Ellen and I were in the costume room until late on Saturday afternoon and locked everything up when we left.  When I left on Saturday, the green room was fine.  The deed was done between late afternoon on Saturday to before our rehearsal at 5:00 on Monday.  The school is looking into this.  For now, please stay posted.  None of the costumes were ruined (thank goodness!), but the mirrors, walls, a table, and the monitor were damaged.

No one should feel unsafe when attending rehearsal.  I am very glad that we have kept the inside doors locked and instituted the sign in/sign out process.  With all the students entering and exiting from the main front door, I can continue to account for all of my students and prove their innocence in such a case as this.  For that, I am thankful.

I certainly do not believe that any of my students did this -- however, if you have any information on this, please contact myself or the administration.

Costume Update: Jan 19th

COSTUME UPDATE:  January 19th

Please bring in your garment bags as soon as possible.  These can be left at WMS in the green room.  Some cast members have already been fitted for several costumes, so it would help all of us stay organized to have this garment bag right away.  You can stick your jazz shoes in this garment bag if you prefer to leave these at the theater to be used at all rehearsals.  Please make sure you have your name on your garment bag.  Please take your garment bag down to the green room and hang this up once you bring this in.


Have your laundry bin?  Awesome.  Go ahead and hang onto this.  You will bring this in as we approach tech week.  It is basically a way that you will organize yourself for things that might not work in your garment bag (wigs, make-up, etc).  If you prefer to have a duffel bag instead of a laundry bin, that is fine.  This is a way to keep you organized, so bring in your preference.

HUNS:  You need a long sleeved black shirt (not a short sleeved shirt).  Now that we have received the costumes from Acting Up, we realized a long sleeve shirt would work better.

BOYS:  
PANTS:  We will need to hem your black pants.  If you don't have a black pair of pants or don't want to do this to one of our own pairs of pants, you can borrow a pair of capri pants (or yoga pants) from a mom or a sister.  We can pin these if they are too big, for the top of the pants will not be visible under your Chinese tunic. 

SHOES:  We would like you to have black shoes without laces, if possible.  You could do black ballet slippers, black water shoes, black canvas slip ons, or black slippers, it would be helpful.  Please see Ellen Kellogg (our costume extraordanaire!) if you have questions.

ALL CAST:  I realize that it is VERY exciting to get your costume (what fun!).  However, please know that the costumers are working with 40 students with most students having more than 1 costume change.  We are looking at TONS of costumes.  Please be patient and do not ask to try on your costumes or interrupt rehearsal to ask questions about when you will be trying on costumes.  The costumers will come get you as soon as they are ready on the days that they can be there -- I promise!  The costumes are BEAUTIFUL, and each of you will look BEAUTIFUL in them!!  I just ask that the entire cast be patient with this process.

REHEARSAL UPDATE: Canceled today - Tuesday, Jan 11th

REHEARSAL IS CANCELLED TODAY: Tuesday, January 11th.

Safety first!  The snow is continuing to fall, and there are several evening cancellations across Cincinnati.  Enjoy your night off!!

Please look over your script and review dancing/music/lyrics for the following:

  • pages 15-26 [Written in Stone, Parts 1-3]
  • Keep 'Em Guessin' Parts 1 & 2
  • I'll Make a Man....

I have the Chinese army, leads, featured dancers (and ancestors - please come) for rehearsals Friday & Saturday.  I will not need to tweak the schedule, as our rehearsals for the Friday & Saturday are the same people plus a review of our musical numbers/script on Saturday.  I will have plenty of time to teach "A Girl Worth Fighting For" and review our dances thus far by the time our rehearsal ends on Saturday.  No worries.  Rehearsal schedule is the same.  Once we nail these dances and songs, we can dive deeper into our character and blocking.  Please remember that most of the rehearsals we have had thus far are musical/choreography.  Continue to work on your lines and characters -- we will be building on what you already have learned in the rehearsals to come.

You have worked very hard for me thus far!  Thank you for a great week of rehearsals!  I have taught you some hard stuff!  Please continue to review these, as I need to move on and continue to clean dance numbers taught.  DON'T FORGET YOUR STICKS FOR FRIDAY!

REHEARSAL: making a call by 3:30

Hi gang,

Unfortunately for you students, the snow got worse once you made it to school, so that meant no snow day.  However, the roads were very bad on my way into work this morning here in Mason.  My office is closing early, and I heard the news is urging people not to hit the roads.  I will make an executive decision by 3:30 today about rehearsal.  I know most of you could walk to school, but with the trek from Mason and the roads getting icier as it gets dark, I need to keep safety our number one priority.

REHEARSAL MONDAY & TUESDAY: I'll Make A Man...

For rehearsal Monday & Tuesday January 10th and 11th, please have your student bring some sort of long stick or pole.  This can even be a broom, mop, or walking stick.  It should be as tall as a house broom.  We are using a long walking stick (think Chinese weapon here) for the dance number, I'll Make a Man Out of You.  We are borrowing these from Acting Up, but until these arrive, this will give your students a stronger sense of what these movements will feel like with this "weapon" in their hand.  Believe me, I choreographed this number with a mop, so it works :)

Signing In/Signing Out

As mentioned at the parent meeting, this process has been put in affect to keep the student's safety first.  Now that we are having a later rehearsal during the winter months, it is dark when your children leave the school.  Although I feel as if Wyoming is a very safe town, it is my job as a teacher to make sure I utilize everything I can to make sure all students are accounted for at all times.

WHY SIGN IN & OUT?
-SAFETY FIRST!  The outside doors stay locked for a reason.  All kids who are entering the building after school hours need to be accounted for.
-ATTENDANCE.  I am able to quickly see who is and who is not at rehearsal. 
-DOORS CANNOT BE PROPPED OPEN.  This is a request straight from the administration.  Since we now have an adult signing kids in and out, the door is only opened for students who are entering or exiting, watching that door the first and last 15 minutes of all rehearsals. 


With this being said, I am able to tweak this process. 
1.  STUDENTS DO NOT NEED THEIR PARENTS TO SIGN THEM IN.  I am not necessarily concerned with how the students get to rehearsal, just that they have made it here safely.  It is your responsibility as parents to get them to rehearsal and make arrangements for their time between school and rehearsal.  However, ALL STUDENTS MUST SIGN IN WHEN THEY ENTER THE BUILDING FOR REHEARSAL.  I do not need a parent's signature or permission to SIGN IN THE STUDENT.  The student is responsible for this and can handle signing themselves in.

2.  STUDENTS MUST HAVE PARENTS PICK THEM UP/SIGN THEM OUT.  Since it is dark at the end of rehearsals, parents, please come in to pick up your child and sign them out.  
Other Feasible Options:
-Send in a sibling to get your child
-Show the parent volunteer on duty at the door that you are there to assure that your student is leaving safely with the right person
-Send in a permission slip that your student is allowed leave the building without you being there 
**If a parent is carpooling and taking a group of children home, that parent is responsible for all those children in the carpool and can sign those students out.

PARENT VOLUNTEERS FOR SIGN IN/OUT:
When it is your turn to head up the signing in/out and helping in the hallway with rehearsals, please remember the following:
-Please arrive 15 minutes before rehearsal.  You can enter through the side door by the cafeteria to get in without a key card to then go around to the front doors and begin signing in the students.  All students need to use the front door. 
-Please sign the kids in and have them stay downstairs by the front doors.  I will come down and get them when I am ready for them at 5:00 (or when rehearsal begins).  This also helps our cleaning staff since the janitors are always working on the front hall around the time of our rehearsal.  Also, the theater stays locked - so please stay downstairs until I come get the students. 
-Stay downstairs the first 15 minutes of the rehearsals to make sure that no one got locked out from rehearsal.
-Come upstairs and hang out by the conference room nook to monitor groups of students that I send out in the hallways to work on music/choreography.
-5 minutes before rehearsal ends, go down to the front doors and begin to sign the kids out. 

There is a desk downstairs by the front door that says 'DO NOT MOVE'.  This currently belongs to us. There are sign-in/out sheets in the desk, as well as a pencil.  Feel free to move the desk out by the front doors to help make signing in/out easier then move the desk back after all the students have signed out for the evening. 

**PLEASE NOTE:  with my current work schedule, I will get there on time but not extremely early.  I am available for 15 minutes after rehearsal to discuss any needs.  Students, there is no need for you to come early, just get there on time.  Please use this time to go home, work on homework, or eat something.  REMEMBER:  no one can stay in the building between rehearsal and school unless you have made prior arrangements with other teachers, coaches, etc.  The library across the street is also a great resource to use.

Thank you for being flexible with this process.  I believe these small tweaks we can make to this process will only increase our students' safety, as well as not make this transition so difficult.  We can do this!!  Thank you in advance.

Costume Update

ALL GIRLS will need:
-a black pair of calf-length leggings (they should hit you about halfway between your ankle and your knee
-a black camisole or tank top to wear underneath your costumes
-a black pair of flat shoes that need to stay on while you are dancing.  The shoes can be jazz shoes or ballet slippers or black slip-ons.  It is okay if there is a small decoration on the shoe like a flower or a bow but the shoes need to be quiet - no clicking noise!   

ALL BOYS will need:
-a black pair of slacks/pants.  We may hem these up a few inches to make more of an Asian "floods" look.  There are some pairs of black slacks in the Green Room.  Feel free to check these out before purchasing. 
-a black pair of flat shoes. These need to stay on while you are dancing and also make no noise.  A jazz-type shoe would be preferred instead of something with laces.  Since we may be hemming your pants up, your shoes will be visible.
-a black t-shirt to wear underneath your costume.

ALL CAST will need:
-a zippered garment bag with their name on it.
-some sort of bin or smaller laundry basket with their name on it.  This will be used to keep all personal belongings in plus items used for the show (wigs, hair pins, shoes, tights, etc).  With 40 kids in the cast, students will need a place to put all of their "stuff" in.  All students should utilize this, so that things are not left on green room counter tops, floors, or in the library.  All items will stay in the garment bags and laundry bins - no exceptions. 

Please stay posted for future needs.  We are having an UPDATED PARENT MEETING to give more details about tech week, make-up, costumes and volunteer responsibilities for show week on MONDAY, January 31st from 5:00 - 7:00.  This is an all cast rehearsal.  Our coordinators will be running this meeting while I am running rehearsal upstairs with the kids.  Please stay tuned for more details!

1. At the bottom left of your blog is a link:  "Subscribe to: Posts (Atom)"

2. Clicking on that takes you to a feed page.

3. On the right side of this feed page they will see:

Update Now
Mail Link to this Page
Subscribe in Mail

4. If they use Mac Mail for their email, they can click : "Subscribe in Mail" and their email software will pop up with an entry under "RSS" on the left of their email window underneath their mailboxes.  

5. When they click on this new entry they will see a listing of all the current blog postings, just as if they had unread emails in a mailbox.  They can delete the ones they've read, and then when you post something new a new unread item will pop up in there.

6. If they don't use Mac Mail, there are other options.  For example, Google Reader can subscribe to feeds.  They would simply copy the link to the feed page and supply that to their RSS feed reader software.

THINGS TO KNOW ABOUT TICKETS:
  • You can buy tickets in advance and have them held for you at will call.  These can be picked up the day of the show 30 minutes before the show begins. 
  • Fill out this form in its entirety and bring them to any rehearsal (Give it to the rehearsal volunteer when you sign in/sign out your student or to Miss Wilmes at a rehearsal).
  • ALL TICKETS ARE $5.  In order to have tickets held at will call, you must pay for your tickets in advance.
  • There are no assigned seats.  The doors will open 30 minutes before the show begins.  Please get there early if you have a strong preference on where you will sit, as we are expecting the musical to have high attendance rates.

WELCOME TO MULAN!

Hello cast, crew, and families of Mulan Jr.! 

My name is Cindy Wilmes, and I am the drama director at the Wyoming Middle School.  I will be directing, choreographing, and working with the music for this winter musical.  I am very excited to work with your children!  Thank you for entrusting them to me and for encouraging each of them to audition.  We had tons of talent come out for auditions, and I am truly looking forward to working with a tremendously talented cast and crew!

We only have a short time before we open Mulan Jr.  This is a very complex (but a very fun and quite entertaining!) musical.  We will have to work VERY hard in order to have the best show, but I want each of you to know that I am fully dedicated to letting your students shine.  In fact -- that is my top priority.  I plan to have a very professional quality of a show and expect each student and family represented to also add to that top quality.  This will be a team effort, for I need each family represented to volunteer to help us put on the best show possible -- but more than that, it is a chance for you student to learn more about the theater arts while embarking on a great adventure.  I can guarantee that this will be one of the highlights of their middle school career at WMS.     

A few things before we dive into specifics:
ALL CAST IS NEEDED FOR REHEARSAL ON MONDAY, JANUARY 3rd.  You were given a rehearsal schedule before auditions of planned rehearsals.  Please check the blog (and the parent packet that you will receive at the parent meeting on Monday) for a detailed schedule of who is needed when.  Since we will be learning the music, dancing, our characters, and blocking in about a month, the entire cast needs to be on call for all rehearsals; however, I might be able to give some characters the nights off if you are not needed on that specific rehearsal day.  For now, please plan to be at all rehearsals (unless you noted this on your audition form) AND then check the detailed schedule to see if you are needed that night.  If not, it's more time for you to study your lines and work on dance numbers at home.

PARENT MEETING IS ON MONDAY, JANUARY 3rd from 7:00-8:00.  ALL CREW + CAST and at least one parent/guardian is required to attend.  Cast, since you are already going to be at rehearsal that evening, your parents will join you upstairs.  If you cannot make it, please check the blog for the items you have missed.  

A few things to know before coming to the parent meeting:
*ALL CAST & CREW will get their picture taken for the program before leaving.  You do not have to wear anything specific.  Please come dressed as yourself!

*$35 is required for ALL CAST & CREW before leaving WMS tomorrow night.  Please bring a check and make payable to Wyoming Middle School or please bring exact cash (we may not have change).  This was noted on the audition sheet and signed by a parent before your child auditioned.  This covers a show t-shirt, meals during tech week, lobby headshot, an offsite cast party, and a DVD of the production.  

*PLEASE BRING YOUR CALENDARS!!  In order to make this production a success, I will need parent volunteers in each aspect of the production.  This will be explained in detail at the parent meeting.  I will need each family represented to work at least one show during show weekend (unless you have been contacted recently to be a committee leader) AND three pre-show shifts (helping build the set, decorate the lobby, etc).  I also will need each family represented to volunteer to help monitor one rehearsal, as I may need groups of students to work on dancing while I help others with acting.  Don't be confused -- this will be explained in detail at the parent meeting.  Amy Elliott has agreed to be my parent coordinator and does a great job at organizing volunteers.  Please be on the lookout for an email from her and some explanation at the meeting.  You will be asked to sign up for these slots before you leave, so please bring those calendars and a willing heart!

A sneak peek into how rehearsals will be run:
A PARENT/GUARDIAN MUST SIGN IN AND SIGN OUT THEIR CHILD FOR REHEARSAL.  Due to rehearsals running later into the evening and it getting dark much earlier, I need each parent/guardian to sign in their child when he/she is brought to rehearsals and signed out when you come to pick them up.  This helps us monitor who is in the building since this is after school hours and can only increase the safety of the students.  This begins Monday!  

ALL STUDENTS MUST LEAVE WMS UNTIL REHEARSAL BEGINS:  I purposely moved rehearsals later in the evening in order to ensure that students go home and get something to eat and begin working on homework instead of hanging out at school waiting until rehearsal begins.  I needed to do this, for students have to be under supervision at all times.  Please arrange for you students to be taken care of until rehearsal begins.  The downstairs door will be open no earlier than 5-10 minutes before rehearsal begins.

Things your students should know:
STUDENTS:  Bring something to quietly work on during your down time at rehearsals.  You will not always be needed every second of rehearsal on the days that you called but will need to stay in the theater.  Feel free to bring a book to read or homework to work on.  
STUDENTS: CELL PHONES WILL NEED TO BE KEPT IN BACKPACKS/PURSES DURING ALL REHEARSALS.
STUDENTS:  Please bring your script and a pencil to EVERY rehearsal.  
STUDENTS:  Please also dress ready to dance for every rehearsal (this means dance shoes [or gym shoes until shoes are bought] and comfortable clothing).     
 

This will probably be the last bulk email to the cast and crew unless something urgent arises.  Please check the blog, as this will be the best way I can communicate to 50+ families. I also would encourage you to please refrain from emailing, unless it is absolutely necessary.  Most (if not all) questions will be answered via the blog:  wmstheater.blogspot.com  I updated this blog frequently with pertinent information.  If something is urgent, please come see me after a rehearsal.  I will be available for at least 15 minutes after rehearsal ends for questions or conferences and would love to meet with you.

I am looking forward to meeting you and your family tomorrow night!  Please do not hesitate to introduce yourself to me!  I am very excited for the adventure that lies ahead.
